You can use business processes in Contentum Projects+ in the following cases:
1. When life cycle stages change.
Processes will start automatically when you attempt to change a project stage. These processes can automate stage changing procedure (archiving documents when a project is closed) and check if the stage changing requirements are fulfilled (a project cannot start, until the product requirements document is approved).
It is handy for automation of approval processes, stage changing processes, project starting and closing procedures.
2. As a stage of the project plan.
Contentum allows you to define any project stage (step) as a standard procedure, which is carried out with a standard business process, modeled in Contentum.
For example, the budget approval process, which is standard for all projects.
Note, that you can add a business process start task to the project plan. For example, if the process “Approving product requirements” follows the “Forming product requirements” task, the process will start automatically when the task is completed, even if it is overdue.
3. On the project page.
You can start “service” business processes on the project page, if necessary. These processes are usually not connected to the project progress: overtime request, incident logging, unscheduled equipment purchase, memo processes, etc.
You can start a process on the project page in one click.
However, there are even simpler ways. Any authorized user can start these processes on the project page. Processes, such as incident logging can be started from an external system.
